Customer Service Officer – Administration (Based in Pohnpei)

Customer Service Officer (Administration) manages all or most administration aspect of Vital’s operations at one of its four island facilities.  Customer Service Officers are responsible for keeping files and paperwork in order.  Customer Service Officer understands the importance of Vital’s customers and do help in keeping and maintaining the satisfaction of Vital customers.

Most of all however, Customer Service Officers manage and maintain the office and is a point of contact to Vital’s customers.  A crucial part of a Customer Service Officer’s role is to resolve day-to-day administration issues, build good contact relationship with customers, encourages employees and customers to turn in paperwork on a timely manner, and makes sure paperwork are filed properly. The Customer Service Officer is responsible for an adequate, sufficient, and clean workplace and is expected to be able to provide administrative information to both employees and customers.

The Customer Service Officer will be responsible for performing the following duties:

  • Work with the following programs:
    • Microsoft Excel
    • Microsoft Word
  • Conducts Vital business professionally and ethically (most especially in public)
  • Phone etiquette, able to work and communicate with staff at all levels
  • Assisting management in any area that requires administrative assistance
  • Filing paperwork in an adequate, efficient, and on a timely manner
  • Keeping proper inventory of office supplies and making requisitions for needed supplies in office
  • Preparing and maintaining accurate files for all customers
  • Tracking employees’ timesheets and maintaining sick and vacation leaves
  • Maintains custodianship of office
  • Participate in training programs and other required trainings
  • Able to adapt quickly to the demands of the administration office as well as the finance office and shows initiative and eagerness and capacity to learn new competencies

She/he is to ensure that all tasks performed are conducted in a safe manner and in accordance with the company’s operating procedure guideline.

Knowledge & Experience

we are seeking individuals with:

Essential

  • 3 years of work experience in a role with people and office management responsibilities, developing the ability and confidence to work with limited supervision.
  • Or 2 years of work experience in the administrative field
  • A solid understanding of administration field and customer importance
  • High school education

Desirable

  • Experience in professional customer service and professional communication skills
  • Operations experience in the wider energy industry
  • University degree in business administration/finance management
